Privacy Policy

Stroud Civic Society (SCS) takes your privacy seriously.

SCS is subject to data protection regulations under UK law, which control the use of personal data.

SCS will:

  • Comply with the data protection laws of the UK.
  • Only collect personal data (name, address, telephone numbers, email addresses and similar) for the purposes of the administration of the Society and its activities.
  • Only contact an individual by post, email or telephone if they have given their explicit permission for that method. An individual can withdraw that permission at any time by contacting the Society.
  • Look after the data (it is strictly confidential) and not lose it.
  • Allow an individual to see the data held about them, and the Society will correct it, if necessary, or if requested, the Society will delete the data.
  • Use Mailchimp and Zoom for communication with members plus Google Analytics for website statistics.  See below under Cookies for more information.
  • Review data held regularly, and when no longer needed for active use the Society will either delete the data or, if a record is still needed (and the individual has not requested their record to be deleted) reduce the data held to the minimum necessary information.
  • Not use the data for business purposes.
  • Not pass on the data to a third party without explicit consent to do so.
  • Destroy data carefully so it cannot be accessed in future.

Cookies and third party systems we use

Cookies are small text files that a website transfers to a site visitor’s hard disk or browser for added functionality, or for tracking web site usage. We do not use cookies to gather personal information such as a person’s name or e-mail address.

Use of cookies is an industry standard and most websites use them. If you do not wish to receive cookies, or want to be notified of when they are placed, you can set your web browser to do so, if your browser so permits.

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognise and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time. Website administrators can also see and edit that information.

We use Google Analytics to generate statistical and other information about website usage by means of cookies. The information collected by Google Analytics about usage of our website is not personally identifiable. The data is collected anonymously, stored by Google and used by us to create reports about website usage. Google’s privacy policy is available at http://www.google.com/privacypolicy.html.

We use MailChimp for communication by email and newsletter.  Information about our membership lists are therefore recorded by MailChimp.  MailChimp’s relevant Privacy Policy is available here: https://mailchimp.com/legal/privacy/#3._Privacy_for_Contacts

We use Zoom for online events.  Members will need to download Zoom software for this. Zoom stores basic information under user account profile information. When you participate in a meeting this information will be shared with us. Any information that is stored or saved within Zoom at this time is our responsibility and will be handled in line with the policy above. Zoom’s Privacy Policy can be viewed here:  https://zoom.us/privacy
